Terms & conditions
The short version. A £100 deposit holds your date; the rest is due a week before you travel. Cancel more than 72 hours ahead and you get everything back. We’ll get you there safely and on time wherever we reasonably can, but traffic and external events are outside our control.
1. Quotes
All quotes are subject to availability at the time of booking. A quote is a price, not a reservation — the date is not held until a deposit is paid.
Quotes are based on the details you provide. If those details change — route, timings, passenger numbers — the price may change, and we’ll confirm any adjustment before booking.
Quotes have no fixed expiry. The price stands while the date is still free, and dates are held strictly on a first-deposit-paid basis.
Quotes prepared automatically by email may contain errors. If anything looks wrong, please call us and we’ll check it manually.
2. Booking and payment
- A £100 deposit confirms the booking and secures the date.
- The balance is due at least 7 days before travel.
- Bookings made less than 7 days ahead are payable in full at the time of booking.
Passenger transport in a vehicle of this size is zero-rated for VAT.
3. Cancellation and refunds
| When you cancel | What you pay |
|---|---|
| More than 72 hours before departure | Nothing — full refund, including the deposit |
| Between 24 and 72 hours before | 50% of the total |
| Less than 24 hours before | The full amount — no refund |
If passengers do not arrive for a return journey, no refund is due for that leg.
If we have to cancel — breakdown, illness, or anything genuinely outside our control — you receive a full refund of everything paid.
Where possible, we may help arrange another licensed operator to fulfil the booking. This is a goodwill gesture only and not guaranteed, and we are not liable for any additional costs associated with alternative transport. You may decline and take the full refund instead.
4. What’s included in the price
Fuel, the driver, tolls, the London Congestion Charge and ULEZ are included unless stated otherwise in writing. Parking is included as standard, except for big events, concert venues and certain race days (subject to the specific venue’s policy).
Airport pick-up and drop-off charges vary by terminal and are quoted separately. Any airport parking included in a quote will be stated.
If we purchase tickets or entry passes on your behalf, you pay the full cost.
5. Timings, waiting and delays
We build realistic traffic allowances into every journey and will always do what we reasonably can to get you there on time. We cannot guarantee journey times. Congestion, roadworks, accidents, weather and breakdowns are outside our control, and we are not liable for missed connections or consequential loss.
If you are running late at the start or for a return pick-up, we allow 10 minutes without charge. Beyond that, waiting is charged at the driving rate for that day and time.
Airport returns: if a flight is delayed by more than two hours beyond the stated pick-up time, the vehicle may not be able to wait. We will arrange collection as soon as possible.
6. Changes on the day
If you wish to add stops or change the route during the journey, we will accommodate this wherever it is safe and legal. Any extra charge will be reasonable and based on additional mileage and time.
Drivers are bound by legal limits on driving hours and rest periods. No request can override these requirements.
7. Passengers and luggage
Our minibus seats 16 passengers, one of which is beside the driver. We cannot carry more passengers or more luggage than the driver judges safe. The driver’s decision on loading is final and is a legal responsibility.
Seatbelts must be worn where fitted.
We take every care, but we cannot accept liability for loss of or damage to luggage or personal belongings unless it is caused by our negligence or by a road traffic accident involving the vehicle. Otherwise, items are carried at the owner’s risk. Please check you have everything before leaving.
8. Behaviour on board
The person making the booking is responsible for their party’s conduct.
- No smoking or vaping.
- No alcohol is to be consumed on board.
- No hot or greasy food. Cold food and soft drinks are allowed at the driver’s discretion — please take your rubbish with you.
The driver may refuse to carry anyone they consider unsafe or a nuisance to others, and may end the journey if behaviour makes it unsafe to continue.
9. Damage and cleaning
You are responsible for any damage to the vehicle or its fittings caused by your party through carelessness or misconduct.
If a passenger is sick on board through drink, a cleaning charge of £50 per affected seat applies.
10. If something goes wrong
We are not liable for failing to perform a booking because of events genuinely outside our control — accident, fire, severe weather, road closures, police incidents, industrial action or similar — though we will always try to maintain the service we have confirmed.
If we cannot provide a suitable vehicle, we may arrange for another operator to fulfil the booking. This discharges our obligation, and you may decline and take a full refund instead.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else that cannot be limited by law. Your statutory rights are unaffected.
11. Licensing and insurance
Billericay Carriages operates under the relevant PSV operator licensing, with fully licensed drivers and comprehensive insurance for passenger carriage.
Our insurance covers the vehicle, the driver and passengers while the vehicle is in motion. It does not cover injuries while getting on or off the vehicle or waiting near it, injuries caused by luggage or other passengers, personal belongings, delays or missed connections. We recommend appropriate personal travel insurance where needed.
Documentation is available on request.
12. Complaints and governing law
If something isn’t right, please call 07917 766 229 or email info@billericaycarriages.com with your booking reference.
These terms are governed by the law of England and Wales.
